How to Prepare a Hot Water Demand Brief for a Project Supplier
Choosing a water heater from a room count alone leaves important information out. A project brief should describe when hot water is needed, how demand overlaps, and which site constraints the technical team must consider. The aim is to give a qualified designer and supplier a common starting point, rather than guessing a tank size.
Describe the pattern of use
List the activities that need hot water and the periods when they occur. Separate a short peak from demand spread throughout the day. Record whether several outlets are likely to operate together. If measurements are unavailable, label estimates clearly and identify who will verify them. Do not present an assumption as measured consumption.
Record site conditions without designing the installation
Include the proposed location, available space, access for service, and known water and electrical supply information. Send site drawings where available. Electrical loading, protective measures, plumbing arrangements and installation suitability need review by qualified professionals using the selected model's instructions and local requirements.
Ask what the proposal assumes
A proposal should explain the demand information it relies on and what remains unverified. Ask how the proposed configuration relates to peak demand and recovery expectations. If the building use changes, revisit those assumptions. Nominal capacity alone does not describe the entire delivered hot-water performance of a system.
Keep a decision record
Store the original brief, technical questions, revised proposal, and approval together. This helps the buyer explain why a configuration was selected and what the installer must still confirm. It also prevents later teams from treating an early budget estimate as the final design.
Buyer checklist
• Activities and peak usage periods
• Expected simultaneous use and confidence in estimates
• Site drawings and known supply constraints
• Technical reviewer and unresolved assumptions
